Terms and Conditions
A contract is formed between Kashiyatra Tours and our esteemed guests once we confirm your selected tour and receive your signed booking form along with the deposit. By signing and submitting the form, you agree to the following terms and conditions, indicating that all participants on the tour acknowledge and accept them, entering into a binding agreement with us.
Booking Confirmation
Your booking is confirmed only after we have received both the signed booking form and the required deposit. All sections of the form must be fully and accurately completed.
After confirmation, we will provide your detailed itinerary, invoice, and other necessary travel documents.
Deposit and Payment Terms
To secure your reservation, a minimum of 70% of the total tour cost must be deposited at the time of booking, as we quote amounts based on confirmed bookings.
The remaining 30% must be paid at least 15 days prior to your arrival date.
If the balance payment is not received within the stipulated time, we reserve the right to cancel your booking, and any refund will only be processed as per the amount we receive back from the hotel, in accordance with the hotel’s cancellation policies.
Please note that the initial deposit is generally non-refundable.
Cancellations by Guests
Any cancellation must be submitted in writing. Cancellation fees will apply depending on how far in advance the cancellation is made:
More than 60 days prior to departure: loss of deposit.
30 to 60 days before departure: 50% of the tour cost.
Less than 30 days: 100% of the tour cost.
No refunds will be provided during festival peak seasons such as Diwali, Holi, or for bookings made between November and March.
No refunds will be provided for any unused portion of the tour once it has begun.
Amendments to Bookings
If you need to make changes to your booking, we will do our best to accommodate them, subject to availability. However, changes may result in additional charges.
Requests for amendments less than 30 days before the departure date may not be possible and could result in cancellation fees.
Travel Insurance
We highly recommend that you obtain comprehensive travel insurance, covering cancellations, medical emergencies, personal accidents, and loss of personal belongings, as Kashiyatra Tours does not accept responsibility for such events.
Responsibility and Liability
Kashiyatra Tours acts as an intermediary between guests and service providers (hotels, transport, etc.). We are not liable for any injury, loss, or damages sustained during the tour due to circumstances beyond our control, including delays, weather, or changes in itinerary.
While we strive to ensure a smooth travel experience, factors such as natural disasters, pandemics, political events, strikes, or government restrictions may affect the tour schedule. In such cases, refunds (if any) will be processed strictly as per the policies of hotels, airlines, and service providers.
Hotel Policy
Standard check-in and check-out timings are as per the hotel’s policy. Early check-in or late check-out is subject to availability and may incur additional charges.
Meals provided at hotels are generally on a buffet or set menu basis. Items not included in the package (room service, mini-bar, laundry, etc.) must be paid directly by the guest.
Transport Policy
Vehicles provided are strictly for use as per the itinerary. Any additional usage, such as extra kilometers, night charges, or waiting time, will be chargeable directly to the guest.
Seat allocation and type of vehicle depend on group size and availability.
Child Policy
Children below 5 years may travel free without an extra bed (sharing with parents).
Children aged 5–12 years with an extra bed will be charged at a reduced rate (as per package terms).
Children above 12 years are considered adults for booking purposes.
Health and Safety
It is the guest’s responsibility to ensure they are in good health and physically capable of participating in the tour. We must be informed of any medical conditions or special requirements at the time of booking.
We reserve the right to decline participation to anyone who may pose a risk to themselves or other travelers due to health or safety concerns.
Guests are responsible for their personal belongings. Kashiyatra Tours will not be liable for loss, theft, or damage to valuables during the tour.
Passport and Visa Requirements
Guests are responsible for ensuring they have valid passports and visas required for travel to and within the country (or countries) included in the itinerary. Failure to have the necessary documentation may result in denied entry or additional expenses.
Dispute Resolution
In the event of any dispute, we are committed to resolving the issue amicably.
Should a resolution not be reached, the matter will be subject to the jurisdiction of the courts in Varanasi, India only.
