Cancellation Policy

If you need to cancel your tour or any confirmed travel service for any reason, please inform your Travel Advisor in writing through email or WhatsApp as soon as possible. The cancellation date will be considered the date on which Kashiyatra Tours receives your written cancellation request.

Cancellation requests made verbally or through unauthorized representatives may not be accepted until they are confirmed in writing.

General Cancellation Terms

Cancellation charges will apply according to the cancellation policy specified in your tour proposal, invoice, booking confirmation, or supplier terms. The applicable charges may vary depending on the destination, tour type, travel dates, hotel category, transportation arrangements, activities, and other services included in your booking.

Unless otherwise stated in writing, the following general cancellation schedule may apply to land arrangements:

More than 45 days before departure: Cancellation charges may be limited to non-refundable supplier payments and applicable administrative or service charges.
30 to 45 days before departure: Up to 25% of the total tour cost may be charged, in addition to non-refundable supplier payments.
15 to 29 days before departure: Up to 50% of the total tour cost may be charged, in addition to non-refundable supplier payments.
7 to 14 days before departure: Up to 75% of the total tour cost may be charged, in addition to non-refundable supplier payments.
Within 7 days before departure, no-show, or after commencement of the tour: The booking may be treated as non-refundable, and no refund may be payable for unused services.

The above schedule is indicative only. The cancellation terms specifically mentioned in your booking confirmation or supplier policy will prevail if they differ from these general terms.

Non-Refundable Services

The following services may be fully or partially non-refundable, depending on the applicable supplier rules:

Airline, railway, bus, or other transportation tickets
Hotels with non-refundable or advance-purchase rates
Peak-season, festival, or special-event bookings
Pilgrimage, religious, or special-entry arrangements
Safari permits, entrance tickets, activities, and excursions
Visa fees, appointment charges, and documentation services
Travel insurance premiums
Payments already made to suppliers
Customized services arranged specifically for the traveller
Services that have already been used or commenced

Cancellation by Kashiyatra Tours

In rare circumstances, Kashiyatra Tours may cancel or modify a tour due to circumstances beyond its reasonable control, including natural disasters, political unrest, government restrictions, strikes, pandemics, transportation disruptions, supplier failure, or other force majeure events.

Where possible, we will offer an alternative arrangement, rescheduling option, credit note, or refund after deducting amounts already paid to suppliers and other non-recoverable expenses. Our liability will be limited to the amount actually received from the traveller for the affected services, subject to applicable law and supplier terms.

Refund Processing

Any eligible refund will be processed after the cancellation has been reviewed and the refund amount has been confirmed. Refunds may be made through the original payment method or another method approved by Kashiyatra Tours.

The refund amount may be reduced by:

Applicable cancellation charges
Supplier penalties
Service or administrative fees
Bank, payment gateway, or transaction charges
Visa and documentation expenses
Non-refundable taxes or government charges
Costs of services already used
Currency conversion differences, where applicable

Refund processing time may vary depending on the supplier, bank, payment gateway, and payment method. Kashiyatra Tours will not be responsible for delays caused by banks, payment providers, airlines, hotels, government authorities, or other third parties.

Changes Instead of Cancellation

If you wish to change your travel dates or modify your itinerary instead of cancelling, please contact your Travel Advisor as early as possible. Amendments may be possible subject to availability, supplier approval, fare differences, revised rates, and applicable amendment charges.

No amendment will be considered confirmed until it has been approved and communicated in writing by Kashiyatra Tours.

Travel Insurance

Travellers are strongly advised to purchase suitable travel insurance covering trip cancellation, medical emergencies, delays, baggage loss, and other unforeseen circumstances. Refunds or claims under a travel insurance policy will be subject to the insurer’s terms and conditions.

Kashiyatra Tours does not guarantee that any cancellation will be covered by travel insurance.

Important Notice

The cancellation terms provided in your final quotation, invoice, booking confirmation, or service-specific policy will take precedence over this general cancellation policy. Travellers are requested to read all booking documents carefully before making payment.
